Dental practice systems and booking

ViveoAI writes call outcomes into Dentally, EXACT, CareStack, Sensei and Aerona. Its site doesn't name Software of Excellence, so practices on SOE should ask it directly. Motics' Phone Agent books directly into Cliniko, Nookal and Meddbase and doesn't integrate with a dental PMS today. In a practice on another system it still answers every call, takes the patient's details, summarises the call and alerts your team, who then make the booking in the PMS.

How the pricing compares

ViveoAI sells minute bundles per location: 500 minutes for £349 (about 70p a minute) or 1,000 minutes for £599 (about 60p a minute), with overage at the same rates and a Group plan for multi-site practices that pools minutes and adds locations from £249 each. Setup and onboarding are included, though custom integration work may be quoted separately. Motics doesn't charge per call. Calls draw 3 credits a minute from the clinic's shared pool. On list prices a credit costs about 11p to 14p (Team £49 per clinician buys 352 credits, Scale £145 per clinician buys 1,320, extra credits £0.13 to £0.14), which works out at roughly 33p to 42p per call minute billed monthly, and less with the 15% annual discount. ViveoAI describes itself as built for UK and Ireland dental practices, and also lists opticians, aesthetics, audiology, physio, vet and medical clinics. It handles calls 24/7, including overflow and out-of-hours, books appointments with outcomes written into the PMS, hands calls to a person on request, routes emergencies and priority calls on the Professional plan, takes deposits and emails summaries. Voice, tone and regional accent can be tailored.

The company is based in Coleraine, Northern Ireland, and is registered with the ICO. Its site says it is GDPR-compliant; for its demo line it says no audio recordings are kept and transcripts are kept for up to 30 days. It doesn't publish ISO 27001, Cyber Essentials, UK hosting or a retention period for live calls.

Is an AI receptionist GDPR compliant for a dental practice?
